Synchronizing Contacts error Distribution List  too large
Edit: This error only is happening with a *shared* Contacts folder. When I create the identical large DL in my personal Contacts it syncs without error. The problem reproduces when you attempt to create the DL in a shared Contacts folder. All of the legacy "too large DL" errors seem to happen under this scenario. Hi all, We just created a large Distribution List of approximately 250 addresses in a shared Contacts. Message subject -> 'Faculty List'. You can view this message in your offline folder file only. 14:20:46 Done Is there any known size issues when sync'ing contacts between Outlook and Exchange. Our Exchange server cluster is currently undergoing upgrades from v2007 to v2010 and I don't yet know if these mailboxes have been migrated to the new version (if v2010 addresses this issue at all). Sounds like: http://support.microsoft.com/kb/974415 You cannot save a contact in Outlook 2007 if the certificate data for the contact is larger than 32 kilobytes

Thank you for the response. I've read this KB but part of me thinks it shouldn't apply as the contacts in the DL shouldn't have any associated certificate data. Though perhaps some do and we just don't know it. I'd read previous issues with Exchange when dealing with larger Distribution lists but that SP3 for 2007 fixed these issues. I'll try to implement the suggested registry changes and hotfix suggested by the KB and will report back if that helps or not. David

*bump* - I just edited the main question to clarify that this is only happening when trying to add the large DL to a shared Contacts list. If I add the identical DL to the local Contacts it will sync without error. This Contacts can even be shared for read-only and large DL is usable by others. The problems happen when the shared Contacts folder is edited - creating the large DL or edit the existing large DL - then all these sync errors start happening. We also got quite legacy errors of "This distribution list is too large for your network email server" under this scenario. This is starting to feel like a bug.

So, you are trying to edit the personal distribution list (PDL) in a shared contacts folder of another mailbox from your outlook, right? Quote: “When I create the identical large DL in my personal Contacts it syncs without error” So, the mailbox owner of this shared contacts folder can edit the problematic larger PDL, right? Does the issue only happen when you edit the larger PDL on the shared contacts folder? Wouldn’t the issue happen if you edit other small PDL, including several contacts in it? Thanks for the reply. Just to clarify one person (boss) is sharing their personal Contacts folder to another person (assistant). Outlook -> Contacts -> Share My Contacts Folder. This is so the assistant can manage those Contacts. Permissions are set for full read/write. Using OWA I'm not seeing that a shared Contacts folder is available - only the GAL and personal Contacts. So I can't test editing of the shared Contacts. Perhaps this type of Contact folder sharing can only happen with Outlook. And Yes the issue only happens when editing a large DL within the shared Contacts folder - smaller DLs and individual contacts are managed and sync'ed without error. For testing I edited the large DL in question from 250 entries down to approx 70 before it would sync without error. Its also true that if the large DL is in your personal Contacts folder it syncs without error, and it can be shared to other users for readonly access successful. I'm attempting to get Outlook 2010 installed and see if it will reproduce this error.

Thanks for the follow-up James. Unfortunately our University's Exchange cluster is right now undergoing upgrade to 2010 (over the past month) and our groups mailboxes have yet to upgraded. So were still on 2007. I tried these steps and don't get the delegated Contacts folder within OWA. We might be upgraded within the next week or 2 (or 3) and which time I'll try your suggestion again. Also because of our infrastructure others suggestions of using the GAL or Public Folders to share a DL isn't an option easily accomplished since access to those is restricted. Any other suggestions are welcome and I'll chime back in for sure once were upgraded to Exchange 2010 and I can test. David

Thanks The reason that I want you to test it on exchange 2010 SP1, is because the folder can be opened with minimum permissions. If you try to open a user’s contacts folder (Boss) in exchange 2007 OWA, “Full Access” permission of the entire mailbox must be granted to assistant.
